Our lawful basis

- Taking steps at your request before entering into a contract
- Our legitimate interests in operating our recruitment, support and community services
- Meeting legal obligations
- Consent where consent is required
Where we rely on consent, it can be withdrawn at any time.
Where special category or criminal offence information is required, we will only process it where an appropriate legal basis and condition applies.
Recruitment, CVs and Future Vacancies
When someone applies for a vacancy, we use the information provided to manage the application and assess suitability for the opportunity.
CVs and recruitment information relating to unsuccessful applications will normally be retained for up to 6 months after the relevant recruitment process has ended, unless there is a legitimate or legal reason to retain particular information for longer.
Where someone separately registers to be considered for future vacancies, their candidate profile and CV may be retained for up to 12 months. Registering for future vacancies does not guarantee employment or a particular assignment.
Before sharing a candidate's CV or personal details with a prospective employer or family, Careers for Life CIC will discuss that particular opportunity with the candidate first.
Right-to-work documents may be checked before placement where required by law or the nature of the role.
DBS checks, references and other appropriate checks may be requested or verified where relevant to a role. Candidates may be asked to provide information about their existing DBS status. Careers for Life CIC does not arrange or verify every DBS check in every circumstance — the approach will depend on the role and applicable requirements.
After the relevant retention period, we may ask the candidate to update or renew their registration. Information that is no longer required will be securely deleted or anonymised where appropriate.
Support and general enquiries
Information submitted through support, business or general enquiry forms will normally be retained for up to 12 months.
Relevant information may be retained for longer where an enquiry develops into an ongoing service or business relationship, or where another legitimate or legal reason applies.
Marketing and newsletters
Careers for Life CIC does not automatically add people to marketing or newsletter lists when they contact us or register with us.
Any general marketing or newsletter communications require a separate and appropriate opt-in. You can withdraw consent for marketing at any time.
Sharing your information
We do not sell personal information or provide it to third parties for their own marketing purposes.
We may share relevant information where reasonably necessary with:
- Prospective employers, clients or families in connection with an opportunity or service — only after discussing that particular opportunity with the candidate first
- Service providers that help us operate our website, communications, email, hosting or secure data storage
- Professional advisers where necessary
- Regulators, public authorities or other organisations where disclosure is required or permitted by law
We only share information that is relevant and necessary for the purpose concerned.
Where service providers process personal information on our behalf, appropriate data-protection and security arrangements should be in place.
Where personal information is transferred outside the UK, appropriate safeguards will be used where required by applicable data-protection law.
Keeping your information secure
We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse or disclosure.
Candidate CVs submitted through our website are stored privately and access is restricted to authorised administration.
No online system can be guaranteed to be completely secure, but we take appropriate steps to reduce risks and protect information entrusted to us.
Children and young people
Our current online candidate registration and recruitment forms are intended for people aged 18 or over.
Careers for Life CIC may develop programmes and opportunities specifically for young people as part of our community work. Any future school or work-experience programme involving younger people will use an appropriate separate process with suitable privacy and safeguarding measures.
Where we collect personal information from children or young people in the future, appropriate privacy and safeguarding measures will be put in place.
Your data protection rights
Under UK data protection law, individuals may have the right to:
- Ask for access to personal information held about them
- Ask for inaccurate information to be corrected
- Ask for information to be deleted
- Ask for processing to be restricted
- Object to certain uses of their information
- Request transfer of information where applicable
- Withdraw consent where processing relies on consent
Some rights depend on the circumstances and the lawful basis on which information is processed.
To exercise these rights, contact: [email protected]
We may need to verify identity before completing a request.
Complaints
If someone has concerns about how Careers for Life CIC handles their personal information, they can contact us first so we can investigate.
They also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

We may update this Privacy Policy as Careers for Life CIC develops or where our services, systems or legal obligations change.
The latest version will be published on our website with its last-updated date.
